REQUEST FOR PROPOSALS – Creative Design and Development of Videos with Graphics

VITAL VOICES GLOBAL PARTNERSHIP AND THE GATES FOUNDATION

Over the course of nearly two decades, Vital Voices has worked with 15,000 women leaders from over 184 countries and territories. These women leaders make up the Vital Voices Global Leadership Network, a network of all past participants of Vital Voices mentoring and training programs, fellowships, coalitions, and other initiatives. They come from cities and villages, from every educational, religious and socio-economic background imaginable. They run schools. They run companies. They run countries. It is a network characterized by women leaders who are at the forefront of change and global progress.

 

Through research funded by The Gates Foundations, specifically Melinda Gates’s new initiative Pivotal Ventures, Vital Voices has conducted focus groups and interviews with the women leaders in the network. This research is aimed to discover how Vital Voices network women are creating societal and cultural change within their communities and the impact of investment from Vital Voices on that change. The women leaders who have participated in these focus groups and interviews come from VV100.

 

The VV100 network represents the most engaged and visionary members of the Global Leadership Network. These leaders are innovators. They see possibility where others see limits. Each knows her community, its promise, and its problems. Each designs solutions for enduring challenges and has demonstrated leadership that unites people. They understand that improving a community means questioning its conventions and asking its members to reconsider their bias. They seek power to drive collective progress and re-invest in the leadership of rising generations. Because of their dedication, more women and girls are empowered, communities have access to more resources and knowledge, and more people value women’s contribution to society. When armed with the right tools, these women will not only help hundreds — even thousands — they will shift mindsets and move societies forward.

 

As a result of this research, we have developed, with the women, timelines of milestones in their lives including the role that Vital Voices has had in their leadership trajectories. Vital Voices aims to create short, graphic videos displaying snippets of these timelines to demonstrate the impact of Vital Voices on these women and the impact these women have on their communities. Each video could be 30 to 90 seconds in length and may contain an assortment of animation, graphics, video footage, photographs, and audio recording. These videos will be used on Vital Voices media platforms as a creative avenue to showcase our impact and the impact of our network women, shifting culture around the world; videos may also be used by the women themselves to promote their own work.

 

The videos themselves should be visually appealing and grab an audience’s attention. The winning firm will be able to bring these stories to life in an interesting and creative way.

 

PURPOSE/SCOPE OF WORK

The successful firm will provide support under the following categories:

 

Creative Lead and Design

Collaborate closely with Vital Voices on design on videos.

 

Technical Development of Videos

Design and create all graphics and animation of the videos; combine with other mediums including photos, video/audio recording, and content provided by Vital Voices, to produce the video for publishing on Vital Voices media platforms.

 

COST ESTIMATE SPECIFICATIONS

While we will accept any format for cost estimates, they need to be broken down to the level of detail as shown in the scope of work, and below:

 

  1. Cost for design/strategy and development of video, provided at a per video rate.

 

If there are any additional expenses you foresee in the completion of the scope of work, please include these as assumptions.

 

LOGISTICS

The consultant will perform the majority of the work at their place of business but must be able to either meet at the Vital Voices office in Washington, DC at dates and times as agreed to by both parties or be available for virtual meetings.

 

KEY CONTRACT TERMS

All deliverables provided to Vital Voices must be furnished for the use of Vital Voices without royalty or any additional fees.

 

All elements developed under this contract are work for hire.

 

The initial period of performance will be from September 2018 to November 2018.

 

EVALUATION CRITERIA
All proposals will be evaluated by Vital Voices against the following criteria:

  1. Corporate capabilities, including qualifications of specific personnel proposed for Vital Voices’ project
  2. Past performance as evidenced by reference letters and/or information obtained by Vital Voices. Past performance working with non-profit organizations will be evaluated favorably.
  3. Work samples, to include creative concepts, sample films, and photography
  4. Cost

 

Vital Voices will take all criteria into account in evaluating proposals, using a best value methodology.

 

INSTRUCTIONS FOR SUBMISSION OF PROPOSAL

Each proposal must contain:

  1. An outline of your proposed creative process and production process.
  2. A description of your firm’s corporate capabilities and past performance in each of the categories.
  3. The CVs of the key staff who will work on the Vital Voices project and their proposed role in the project (you may include an organization chart and/or project management diagram).
  4. List of references (i.e., current/previous clients, preferably non-profit organizations) including name of the point of contact, title (if available), phone number, and email address. In addition, you may also submit reference letters from previous clients if available.

Any proposal not addressing each of the foregoing items could be considered non-responsive. Late proposals will be rejected without being considered.

This RFP is not an offer to enter into an agreement with any party, but rather a request to receive proposals from persons interested in providing the services outlined below.  Such proposals shall be considered and treated by Vital Voices as offers to enter into an agreement.  Vital Voices reserves the right to reject all proposals, in whole or in part, and/or enter into negotiations with any party.

Vital Voices shall not be obligated for the payment of any sums whatsoever to any recipient of this RFP until and unless a written contract between the parties is executed.
