Opportunity for Impact
As we continue to build our capacity and outreach, we are seeking a People Operations Coordinator to support organization-wide administrative and human resources operations, including onboarding and internal logistics. The People Operations Coordinator will report to the Vice President of People Operations and support the People Operations team as well as Vital Voices internal teams to provide real-time support to our growing team.
The ideal candidate will be a highly motivated self-starter with careful attention to detail and ability to implement systems and logistics, excellent interpersonal and communication skills, patience under pressure, and a passion for Vital Voices’ work. The People Operations Coordinator will work across a portfolio of projects alongside and learning from cross-functional teams with leaders and peers with varying backgrounds, education, and experiences.
This hybrid position is based in Washington, DC with staff expected to be in the office a minimum of twice a week.
Key responsibilities include:
- Onboarding and Benefits support: Manage the end-to-end onboarding process, ensuring a great experience for new employees and a smooth start into their roles
- People Operations: Support Vice President of People Operations across the full portfolio including executive support, employee relations, onboarding, compliance, and creation and maintenance HR policies and procedure documentation.
- Internship Program: Under the direction of the Talent Acquisition Specialist, manage day-to-day coordination of the internship program, including but not limited to intern onboarding and offboarding, orientation, stipend management, and intern job postings.
- People Analytics: Compile and analyze data from multiple sources to produce insights related to the workforce to help Vital Voices stakeholders make informed data-driven decisions
- Project team Support: Support organization-wide project management by ensuring project teams are moving through the organization-wide process, keeping a pulse on team communications, and coordinating alignment across finance, people operations, and project teams.
- Logistical Support: Support org-wide planning and execution of People Operations initiatives, including logistical preparations, and development of agendas, content, and materials for in-person and virtual events and retreats at the Vital Voices headquarters and elsewhere.
- Communications: Create one-pagers, concept notes, social media postings, and other communications documents for the Vital Voices People Operations team
- Operations: Managing payments and contracts. Receiving and reviewing grants and/or contracts, managing those relationships and passing on invoices and contracts to the Finance & Operations team.
- DE&I Commitment: Embrace and model the Vital Voices guiding principles, values, investment, and leadership models with the goal of supporting Vital Voices’ organization culture and success.

Experience
- Bachelor’s degree and 2-5 years of experience working in operations, human resources management
- Ability to maintain discretion and work with confidential information
- Demonstrated experience working collaboratively across multiple departments
- Excellent oral and written communications skills
- Strong organizational and time management skills and meticulous attention to detail
- Experience with managing scheduling and candidate communication
- Ability to thrive in dynamic environments with tight deadlines
- Strong entrepreneurial spirit and willingness to learn
- Positive attitude and demonstrated commitment to Vital Voices’ mission and values
Experience:
This position is a full-time, exempt position based in Washington, DC. Vital Voices does not provide work visa sponsorship or relocation assistance for this position. International travel may be required.
The starting salary range for this position is between $59,635 – $72,888 based on experience and ability to have broad impact early. The compensation package includes comprehensive medical, dental, and vision insurance, 401k match, and generous PTO including wellness flex days, generous parental leave, sabbatical time and volunteer leave as well as short- and long-term disability, life insurance, HSA, EAP, and a professional development stipend.
